1. If I am not attending the Congregation ceremony, should I inform the University via online registration?
If you will not attend the ceremony but would like to borrow your academic dress from the University and/or collect the admission tickets, you should inform the University by completing the online registration on or before the deadline for registration.
2. If I do not complete the online registration procedures during the specified dates, would there be other arrangements for me to do the registration?
There will be no other arrangements. If you fail to complete the online registration procedures from now on till 6 October 2017, we shall assume that you will NOT attend the ceremony, borrow your academic dress and collect admission tickets.
Academic Dress and Admission Tickets
3. What is a full set of academic dress?
A full set of academic dress consists of a gown, a hood and a mortarboard/bonnet. Please refer to the Colour of Robe and Hoods for the details of the academic dress for respective programmes.
4. When and where can I collect my academic dress and admission tickets? If I cannot come in person, what should I do?
Academic dress and admission tickets will be available for collection from 13 to 15 October, 2017 (10:30am – 4:00pm) at Conference Centre, E-P-01, Block E, Tai Po Campus. If you cannot come in person, you may authorise your representative (or arrange a self-paid courier) to collect the items on your behalf. Please indicate the collection method via online registration. For details, please refer to the Collection of Academic Dress.
5. If I choose to arrange a self-paid courier to collect my academic dress and admission tickets, what should I do?
You may arrange a self-paid courier to collect your academic dress and admission tickets on your behalf from 30 to 31 October, 2017 during the office hours from 10:30am – 1:00pm and 2:00pm – 4:00pm at A-2/F-03, Cho Kwai Chee Foundation Building (Block A), Tai Po Campus. Please state the company name of the self-paid courier clearly on the authorisation form (courier) and ensure the staff representative of the company to bring along the required documents such as HKID card or staff card for identification.
6. If I am out of Hong Kong during the period for the collection of academic dress and admission tickets and I don’t have any authorised person to collect the items on my behalf or arrange the self-paid courier, what should I do?
You can write to the Registry (email@example.com) with justifications and supporting documents, if any for special consideration.
7. If the academic dress does not fit me, can I change it?
Gowns once checked out cannot be changed. The size requested (gown or mortar board/bonnet) will only be entertained while stock lasts because the demand for each size may varies from year to year. Please refer to the online registration for the measurements of each size (XS, S, M, L and XL). If the size requested is out of stock on the day of collection, the next available size will be provided instead.
8. If I forgot to collect my academic dress, are there any make-up arrangements on the day of the Congregation?
The Registry WILL NOT provide any academic dress on the day of Congregation. Academic dress must be collected before the day of Congregation. Graduands not in full academic dress will not be arranged to go on stage.
9. If I cannot return the academic dress on the specified dates, can I return it on the day of congregation or apply for late return?
On the day of Congregation, there will not be any counter service for handling the return of academic dress as all staff will be occupied to run the ceremony. A penalty charge will be levied for late return of academic dress after the stipulated period. Please refer to the Return of Academic Dress and Collection of Award Certificates for details.
10. Can I buy the academic dress?
Academic dress provided by the University will not be for sale. If you want to purchase the academic dress, you may contact the supplier, Ah Yau Tailor at 2522 9823 directly.
Arrangements for Guests
11. Can I ask for more than two guest tickets?
Each graduand is entitled to have only two guest tickets. As seats are limited, once the arena is full, guests will be directed to the room assigned for live broadcast.
12. Are there any replacement arrangements for lost guest tickets?
No replacement tickets will be provided. Guests are reminded that no seating arrangement will be provided to family/guests without valid tickets.
13. Will the University provide parking spaces for guests or any special transport arrangements?
Special transportation service will be available on the days of the Congregation. Guests are advised to allow sufficient waiting time for boarding or they may make use of the public transport to reach our Tai Po Campus. Parking spaces will only be arranged for guests with special needs. 14. Are there any admission rules for children?
To ensure that the Congregation will be conducted in a solemn and formal atmosphere, guests with children under 3 will be directed to the room assigned for live broadcast.
15. Do I need to arrive early for the Congregation?
To ensure the smooth operation of the Congregation, early arrival is necessary. You must arrive at the Seat Allocation Counter in the Squash Court Viewing Gallery (Block E), E-LP1, 45 minutes before the Congregation is due to start.
16. What should I wear under my academic dress?
The Congregation is a formal and special occasion to celebrate the successful completion of your studies at The Education University of Hong Kong. Full academic dress is therefore obligatory. Please refer to Dress Code for details.
17. If my family members/guests or myself cannot arrive at the venue at the designated time, will we be refused to attend the ceremony?
Every session will begin at the designated time sharp. It is very important that all participants arrive punctually so as not to disturb the flow of ceremony. Graduands and family members/guests should be seated 30 minutes before the Congregation is due to start. All late comers will be directed to the room assigned for live broadcast.
18. When can I return the academic dress and collect my award certificate?
You or your authorised representative can return the academic dress either to (1) selected laundry outlets of Quality Laundry Limited between 17 November and 7 December 2017 (both dates inclusive), or (2) Quality Laundry Limited in the Conference Centre E-P-01, Block E, Tai Po Campus during the Award Certificate Collection period between 8 and 10 December 2017. Please refer to the Return of Academic Dress and Collection of Award Certificates for details.
Similarly, you or your authorised representative can collect your award certificate at the Conference Centre E-P-01, Block E, Tai Po Campus between 8 to 10 December 2017 (10:30 am – 4:00 pm). Please refer to the Return of Academic Dress and Collection of Award Certificates for details.
19. If I do not attend the Congregation, can I get back the caution money?
Caution money is a deposit used to make good of any outstanding debts to the University incurred, for example, damages to the University property. Should there be no outstanding fees/fines/charges at the end of your study; the caution money will be converted to offset the graduation fee including the cost of the Congregation, loan of academic dress and cost of the award certificate. If you do not attend the Congregation ceremony, it implies that you give up your right to use these services. NO refund of caution money will be made.
20. If I do not attend the Congregation, when can I collect my award certificate?
You or your authorised representative can collect your award certificate from 8 to 10 December, 2017 (10:30am – 4:00pm) at the Conference Centre, E-P-01, Block E, Tai Po Campus, or Student Records Service Desk of Information Centre (A-G/F-11, Tai Po Campus) from 11 December 2017 (first day at 2pm) onwards. (Opening hours: 9am to 5pm, Mon to Fri, except public holidays). For details, please refer to the Collection of Award Certificates or contact 2948 6710.
21. Currently I do not stay in Hong Kong, can I collect the award certificate by mail?
You may authorise a person to collect your award certificate on your behalf. Please refer to the Congregation website to download the authorisation form and for reference of other details. Besides, you may write to the Registry (email@example.com) for posting your award certificate to an address outside Hong Kong by Double Registered Mail. You are required to settle the postal fee of HK$65 (mainland China and oversea) before our delivery.
Please settle the fee by using the following payment methods and send the bank draft/original payment receipt to the Registry (A-2/F-07, CKCF Building (Block A), 10 Lo Ping Road, Tai Po, New Territories, Hong Kong) with your name and student number written on it for identification:

You may send a bank draft made payable to ‘The Education University of Hong Kong’.
Payment by cash at bank/ATM
You may ask your relative or friend in Hong Kong to obtain a payment slip from any branch of Bank of East Asia to pay/transfer the actual amount by direct debit or through ATMs transition to Bank of East Asia (A/C no. 015-195-25-00100-0) in Hong Kong.
Your request will only be processed upon receiving the bank draft/original payment receipt of the postal charge. Personal cheque is unacceptable.
The Registry bears no responsibility for any loss, damage or delay of the document during postal delivery.

(Replacement of award certificates only applicable to graduates of higher/postgraduate diploma or undergraduate or taught/research postgraduate programmes (except joint degree programme such as BACEE and Professional Development Programmes)).
22. Will there be flowers for sale on campus during the Congregation Days?
A Flower Company is appointed to set up a flower kiosk on the Congregation days. Details will be announced later.
